When you rent a tree from Doran Family Tree Farm, you will be responsible for a few things outlined in the rental agreement. To help your tree stay happy and healthy, please follow these simple tips:

  • Keep it outdoors until you’re ready to bring it inside and decorate.

  • Set it up in a cool spot, away from fireplaces, heaters, and direct heat sources.

  • Give it a drink every day! Your tree loves water and will stay fresh longer when the soil stays moist.

  • Be gentle with the branches. Don’t cut, remove, or trim them, and keep the top leader (the tall stem) intact.

  • Skip the tinsel and flocking. They can harm the tree.

  • After the holidays, remove all decorations and return your tree to the designated drop zone by January 4th.

You’re responsible for caring for your tree during the rental period, and with a little love, it’ll be ready to keep growing for many Christmases to come.

Tree Rental Care 101

Christmas Tree Rental Agreement
This Tree Rental Agreement ("Agreement") is made as of the date of the transaction between:

Doran Family Tree Farm LLC ("Lessor") 

and 

The customer ("Lessee") 

1. Rental Terms

1.1 Rental Period: The rental period for the tree (including the pot cover and tray) begins with the payment of the rental fee and ends when the tree (pot cover and tray) are returned, but no later than January 4th each year, subject to calendar adjustments. 

1.2 Payment: Payment of the rental fee constitutes acceptance of these terms and conditions.

2. Tree Care and Maintenance

2.1 Responsibilities of Lessee:  

  • Keep the tree outside until ready for use.  

  • Set up the tree in a cool environment away from heat sources.  

  • Water the tree daily.  

  • Do not remove, cut, or damage branches or the leader (the lead stem on the top of the tree).  

  • Do not add tinsel or flocking to the tree.

  • Remove all decorations after use and return the tree before January 4th to the designated drop zone.

  • Lessee assumes full responsibility for the care and maintenance of the tree during the rental period.

3. Collection and Return

3.1 Collection and Return Process: The rental agreement begins upon the collection or delivery of the tree and ends upon the tree being returned to or collected by the Lessor. 

3.2 Failure to Return: If the tree is not returned by the due date, the lessee shall be liable for the replacement price of the tree, and the security deposit will be retained. Additional charges may apply based on the size of the tree.


3.3 Refunds: If Lessee is dissatisfied with the tree, it may be returned for a refund of the rental cost of tree.  To be eligible for a refund, Lessee must request to return the tree via email (doranfamilytreefarm@gmail.com) within 72 hours of pick up of the tree. It needs to include the confirmation number within the email. 

4. Damage and Liability

4.1 Lessee Liability: Lessee bears all risks of loss or damage to the tree during the rental period. This includes, but is not limited to:

  • Loss or theft

  • Under or over watering

  • Accidental or malicious damage

  • Exposure to excessive heat

  • Use of flock, spray, tinsel, candle wax, non-LED lighting or other harmful decorations

4.2 Damage Assessment: Upon return, any damage will be assessed, and the Lessor may require the Lessee to pay for the replacement price of the tree outlined in the agreement.

5. Security Deposit

5.1 Deposit Requirement:
We require a card to be kept on file. Applicable fees will be charged after the return date, once the tree has been inspected.

  • 2-gallon tree: $15 fee if damaged. An additional $20 will be charged if the tree is not returned.

  • 5-gallon tree: $20 fee if damaged. An additional $25 will be charged if the tree is not returned.

Refunds or adjustments (if applicable) will be processed promptly after inspection.

6. Indemnification

Lessee agrees to defend, indemnify, and hold harmless the Lessor against any claims or damages arising from the rental and use of the tree. Lessor is not liable for any injury or damage to persons or property resulting from the Lessee's use of the tree.

7. Ownership

This Agreement constitutes a lease and not a sale. Lessor retains ownership of the tree at all times. Lessee must keep the tree free from all liens and encumbrances.

8. Governing Law

This Agreement shall be governed by and construed in accordance with the laws of the State of Oregon.

9. Miscellaneous

9.1 Severability: If any provision of this Agreement is found to be invalid, illegal, or unenforceable, the remaining provisions will remain in effect.

9.2 Binding Effect: This Agreement shall be binding upon the parties, their successors, and assigns.

This Agreement is tailored for use in Oregon and ensures the proper rental and care of the tree while protecting the interests of both parties involved.
